| Job Description:
The primary responsibility of the Office Manager is to assist in Publishing in its day-to-day management. A mid-level position, the Office Manager provides whatever assistance is needed for the smooth execution of all aspects of the publishing business. A key element of the position is serving the publishing community, ensuring that customer satisfaction is achieved in all areas of the department and that the vision and goals of the Global Heart are consistently demonstrated through all communications and relationships effectively, efficiently, and with a high level of excellence.
Educational Requirement:
- Bachelor’s degree desired
Experience and skills:
- Significant experience in office procedures and management
- Exceptional verbal and written communication skills. Has the ability to communicate effectively with various vendors, publishers and churches.
- Working knowledge of computer programs and skilled at Internet usage
- Experience in publishing management
Duties and Responsibilities:
- Request for checks for various vendors including royalties twice a year
- Monitor postage account and request for check, including other postal fees and direct mail
- Provide print order of magazine and distribution report to printer
- Maintain monthly circulation report
- Handle copyright for magazine
- Address all aspects of subscription problems, e.g., download subscribers list from fulfillment service to provide customer back-up
- Collect and respond to correspondence and SOMMALL orders pertaining to fulfillment
- Process subscription refunds
- Provide information to inquiring public on writer’s guidelines, also regarding publishing products and magazine
- Process church pamphlet orders
- Order labels from fulfillment service for church mailings
- Work with accounting for wholesale church magazines, processing new orders, order changes and cancellations
- Provide labels of church wholesale accounts monthly to printer
- Distribution of all in-coming mail
- Order, log and track books received for review
- Keep record of magazine articles and authors including any publishers contacted for excerpts
- Provide monthly report for book distributor and website of books mentioned in magazine
- Process columnist’s authors and publishers payroll
- Traffic in-house and outside advertising including collection of payment and artwork
- Liaison to outside ad representative(s) and keep record of ad sales and payroll
- Proofread blueline for any corrections in advertising
- Measure ad space and report to post office and fulfillment service to determine postage
