Community Events Office Assistant
 
Job Description:

Works under general supervision to perform standard duties in assistance of the activities in the Community Events Department.  Follows verbal and written directions and exercises judgment to complete tasks including, but not limited to overseeing the complete registration process of the events, maintaining and updating registrant records for income and expenses on the computer, scheduling and correlating mailings, tracking the detail for income and expenses on each event and assist with overall department requests.  The position encompasses four categories; computer work, clerical support, tracking information and public interaction.

Educational Requirement:
  • Active member of a Religious Science or equivalent spiritual center having completed the Foundations class successfully

Experience and skills:

  • Working familiarity with the UCSL organizational model and the Global Heart Vision
  • Mandatory presence at Asilomar, Community Gathering and other designated events
  • 2-4 years general office experience
  • Hands on experience with computers and software including word processing, spreadsheets and database programs
  • Demonstrated excellence in interpersonal skills, working within a shared leadership team and maintaining cooperative working relationships
  • A strong commitment to ethics, integrity, diplomacy and initiative
  • Strong writing and presentation skills
  • Exceptional verbal and written communication skills.  Has the ability to communicate effectively with Church leadership, staff,  and covenant members as required
  • Strong organizational skills including delegation, organization, follow through

Duties and Responsibilities:

  • Perform data entry for event registration records
  • Maintain computerized mailing lists
  • Print labels and other materials for mailing
  • Type correspondence
  • Run reports and prepare statistics as needed
  • Pick up, open and date stamp daily mail
  • Edit and proof writings for programs, forms and other materials
  • File, copy and fax
  • Prepare and mail event correspondence
  • Income and expense reports for all events
  • Process refunds
  • Assist in the budget tracking and reporting
  • Answer phones and process telephone reservations as needed
  • Do on-site guest registration
  • Coordinate all volunteers at home office and on-site at events
  • Internal and external customer services
