GEMS Administrative Assistant
 
Job Description

This position acts as the office conduit for all administrative functions coming through the GEMS Department, including all written correspondence.  This position welcomes visitors to the department and interacts with constituents via telephone, email, fax, and other technologies.  Working directly with the GEMS Manager, this position effectively manages the GEMS calendar and assists the GEMS Manager with scheduling ministerial ordination, graduation, and affiliation panels.  Further, this position interacts daily with the New Works Administrator and the Practitioner and Ministerial Services Administrator, establishing an effective working relationship with each.  This position plays an integral role in record-keeping and data-base management for the United Centers for Spiritual Living, as well as anchors the GEMS department in efficient administrative functions.

Educational Requirement:

  • Licensed practitioner of Religious Science
  • BA preferred.

Duties and Responsibilities:

  • General administrative functions: telephone, email, and written correspondence.
  • Establish an efficient and logical filing system, and maintain on a daily basis.
  • Establish cordial and effective working relationships with other administrative assistants in other UCSL Departments.
  • Assist GEMS Manager as needed:
  • Dictation and scheduling
  • Travel arrangements
  • Priority assessment
  • Communication of interoffice and extra-office events when appropriate
  • Assist GEMS Manager with ER responsibilities:
  • Track ER Agenda items as they come in, keeping a running log for each quarterly ER meeting.
  • Copy all applications and supporting materials for Affiliations, Licensing, Study Groups, Teaching Chapters, New Works, etc for ER Agenda and FedEx to ERs, CSL, and ECC at least 10 calendar days before scheduled meeting.
  • Take minutes of ER Meeting and present in standard format to GEMS Manager; upon approval, send minutes to all ERs and the ECC, along with Action Items List.
  • Assist ERs with any travel arrangements as requested.
  • Assist ERs with any materials or support as needed.
